GENERAL SUMMARY

HG Litigation currently has a Legal Assistant position available in the firm’s Dallas office.

The legal assistant has the primary responsibility of working directly with free lance court reporters and court reporting firms to effectively and proactively schedule litigation services for our legal client base.  The legal assistant must have confidence and knowledge of general law to ensure he or she is able to provide excellent service to all clients while following our firm’s procedures. Experience working with court reporters or the court reporting industry would be an advantage. The legal assistant needs to have excellent verbal and written communication skills in order to perform daily job requirements.  The duties outlined below may be fulfilled individually or in collaboration with other members of the firm, however, the firm reserves the right to modify the duties of this position to meet the business needs of the firm.

ESSENTIAL JOB FUNCTIONS – Job Title:  Resource Manager

Primary Duties (Must Have Experience)

  • Maintain resource calendar for Law Firm/Client caseload by scheduling court reporters for client assignments; schedule Interpreters and International Deposition Resources as needed;
  • The Resource Manager is the first tier for resolving issues involving assigned resources before, during or after a deposition, and is responsible for assuring all details are handled to client’s satisfaction;
  • Assist clients in complying with the discovery process;
  • Communicate directly with HG Client Managers regarding their scheduling needs, clearly documenting that information in the database;
  • Must be available for afterhours weekend on call rotation, and willing to complete tasks essential to client and resources if before/after regular work hours require it;
  • Coordinate with resources via email and phone regarding scheduling, cancelling, reassigning, turn time, pre and post deposition instruction, special services, instruction in proper upload of jobs via website, assistance with upload when needed, obtain transcript status updates, billing, production, standing orders, changes/modifications/special production requests, teleconference requests/issues; realtime/LiveNote, internet realtime/video requests, tape transcription orders, video conferencing / production inquiries and maintain detailed notes in database;
  • Monitor Overdue Jobs Report and contact resources for turn in.
  • Update marketers with new prospects  and existing customer service opportunities via the marketing database;
  • Database entry of resource details for new scheduling requests, cancellations, reschedules, confirmations – all requiring keen attention to detail;
  • Interface with all facets of the Scheduling department with regard to court reporters, videographers and teleconference team to ensure all details are handled;
  • Team spirit essential in communicating with other HG departments regarding billing, production, records and other attorney service features provided by HG to the client;
  • New resource recruitment as needed – obtain W-9 forms and verification of their certifications;
  • Become familiar with court reporting rules in all states across the U.S. and ensure reporter adherence with final product;
  • Overflow answering of incoming teleconference calls, reception coverage on rotation basis; coverage for other Resource Managers during absences;
  • Answer and address all resource concerns in a polite and professional manner and keep HG management abreast of any potential issues requiring problem resolution to ensure HG customer satisfaction standards are met at all times;
  • Maintain and update details in the database pertaining to resources – address changes, etc.
  • Special projects as needed, including database clean up.
  • Occasionally attend marketing functions during or after hours as requested.

KNOWLEDGE, SKILLS & ABILITIES REQUIRED:

  • It is preferred that applicant have a Paralegal Certificate or Bachelor’s Degree.
  • Must possess an above average understanding of computers, hardware and networking concepts.
  • Must have extensive knowledge of Microsoft Word, Outlook, Excel and Litigation Software.
  • Must have typing skills of at least 60 wpm as most communication will be on keyboard.
  • Must have a minimum of two (2) years experience in general practice, five (5) years of litigation experience is preferred.
  • Must be familiar with Discovery process and Deposition Notices.
  • Work occasionally requires more than 40 hours per week to perform the essential duties of the position.
  • Must maintain internet access at home for remote access to HG databases.
  • Have the interpersonal skills necessary in order to communicate in person, by e-mail and telephone to provide information with courtesy and tact.
  • Must possess superior and positive communication skills.
  • Must be organized and attentive to detail, able to multi-task on a daily basis.
  • Must be able to participate and collaborate in a team-based environment, and demonstrate an open mind and cooperative spirit when working with interoffice personnel.
  • Must be able to prioritize effectively, meet deadlines and function independently.
  • Must be able to work effectively and maintain a supportive and professional demeanor under circumstances of pressure or stress.
  • Must possess a willingness and aptitude to learn in fast-paced environment.
